This page contains the organizational timeline for Wiki Loves Public Art 2013. Feel free to use and and consult it if you so please.

The timeline is supposed to be mainly an advise, especially when it comes to local organization: you can choose to do things differently, and if you want to start working on some things earlier or to prepare your own timeline, you are very welcome to do so! Not everything on the timeline has to be done. The dates are only suggestive, and often not meant to be that specific, unless marked in bold. You can make a local copy of the timeline, and adapt it at your wishes.

Suggested timeline for local teams[edit]

October 2012
October 1 indicate that you're interested by sending an email to John.andersson@wikimedia.se or create a page directly on the list with Participating countries
October 2 start a public artwork project on your local Wikipedia and analyze if the community wants to join the project
October 3 start to analyze what information is available in your country (e.g. coverage of data bases, full address, coordinates, unique identifiers etc.)
October 26 set up a portal page for Wiki Loves Public Art on your local Wikipedia
October 27 register your local wikilovespublicart.TLD domain. Create a redirect to Wikimedia Commons if you have no content yet
October 27 create your local OTRS queue and team
October 28 (if needed) create a mailing list for your local Wiki Loves Public Art
October 29 start preparing a task management system, divide the work between the people
October 30 contact your government or other responsible institution/organization and ask for the lists of artworks
October 30 decide if you'd like to have local workshops organized by the international team and let them know
November 2012
November 2 create a page on Wikimedia Commons (see the portal page) and fill in the progress table for your country
November 3 have all main organizers subscribed to the global mailing list wikilovespublicart@lists.wikimedia.org.
November 6 (if needed) create a timeline for your local Wiki Loves Public Art; feel free to use this one as a base!
November 8 contact other partner organizations or institutions
November 9 start advertising the project in your local Wikimedia community
November 10 start a discussion on defining communication channels (including outside ones)
November 17 have structured list templates finished
November 21 have the list of public artworks received from the government/other responsible institution
November 24 have some structured lists ready
November 25 create environment where people can report errors in the lists
November 25 create a local helpdesk (including legal questions)
December 2012
December 1 have a landing page ready at your local wikilovespublicart.TLD page
December 2 consider asking your local Ministry of Culture or other cultural heritage institution to formally support the contest in your country
December 7 decide on RL meeting with volunteers, try to identify local problems and possibilities
(including freedom of panorama and other copyright issues)
December 7 start looking for local sponsors to provide awards
December 13 start working on the official (external) website
December 14 start working on local documentation (how to locate public artworks on a map using software available in your country etc.)
December 21 start thinking about some promotional materials and goodies to give to the participants
December 28 set up category structure for your local artworks on Wikimedia Commons
January 2013
January 6 (if possible) start working on a local events program
January 15 join the work on a pre-announcement to be sent to all Village Pumps
January 21 have the official website up, running and shining
January 22 have an OTRS queue set up with at least two-three people with access
January 22 have the pre-announcement posted to your local Village Pump
January 23 partners should be ready, participating and informed about what is going on
January 24 write an announcement asking people to submit nominations for your local jury
February 2013
February 2 start processing already existing pictures on Wikimedia Commons
February 9 have the promotional materials and goodies designed and at least being produced if you want to distribute them
February 20 have the rules of the contest set up and posted to your external website
February 23 have somebody join the international Wiki Loves Public Art translation team
February 24 have somebody join PR team to work on press releases and external outreach
March 2013
March 5 local sponsors should be ready & informed about the goings-on
March 6 have the international website translated into your language
March 8 (if needed) set up a Flickr group (and other platforms) for an easy upload
March 8 have your local jury fully formed and set up judging criteria
March 12 start preparing Commons infrastructure (UploadWizard) and CentralNotice in your language
April 2013
April 1 (if possible) finalize local events program
April 5 the lists of artworks should be finished; finish processing already existing photos on Wikimedia Commons
April 7 have promotional materials and goodies sent out to volunteers around your country
April 10 decide if you want to hold an awards ceremony and (if agreed on) start preparations
April 15 have local PR people start working on an announcing press release
April 17 have all upload environment in your language tested
April 20 start sending invites to Flickr users in relevant groups to join the contest
April 21 have UploadWizard and CentralNotice translated to your language and ready
April 22 have the announcing press release ready and translated into your language; send it to the media!
April 25 have all crucial infrastructure and pages on Wikimedia Commons as well as the tools translated into your language
May 2013
May 1 start the contest!
May 6 have local PR people start working on a middle-of-the-contest press release
May 15 have the middle-of-the-contest press release ready and translated into your language; send it to the media!
May 16 have the local awards ceremony confirmed
May 25 have local PR people start working on a final press release
May 31 finish the contest!
June 2013
June 1 have the final press release ready and translated into your language; send it to the media!
June 9 have the participants survey ready and translated into your language
June 21 have the final decision of the local jury; send your nominations to the international level
June 22 have your local winners informed about the results of the contest
June 24 have a press release about the results of your local contest ready and sent out to the media
July 2013
July 4 send thank-you letters or e-mails to the volunteers, partners and sponsors and invite them to your local awards ceremony
July 11 start working on the evaluation of the project
July 19 the international jury will have its decision ready.
July 19 send out press releases about the winners
July 25 make sure all photos are in the lists and are properly categorized
July 31 have the evaluation ready & posted to your local Wikipedia; translate at least the most important parts of it into English
August 2012
August 1-31 go out and relax in the sun! Well done! :-)
