Category Format idea I also made something else, see User:Bdcousineau/Sandbox2. I wonder if this would be okay on the category page for this group of docs. I can make one like this for each group. It gives a little context. I copied the format from something User:Dominic did for NARA, that generated quite the controversy, see: Commons:Deletion requests/Record Group 233/Petitions and Memorials, compiled 1813 - 1968 (Judiciary). I've submitted User:Bdcousineau/Sandbox2 to User:Jameslwoodward for his thoughts. It's sticky - we do need some context for collections of documents but I agree that Dominic's "Gallery" may have not been the best idea. Please see User:Jameslwoodward for his comments to me.

Categories for upcoming uploads: User:Michael Barera please weigh in here and elsewhere!! I'm still stupidly confused by the concepts of how categories nest - I'll have to draw a picture someday - but for this first collection (Vice presidential papers)how bout these broad categories:

Obviously we will be uploading these, most likely before he does. Do we just do a redirect from that page to the one we will do?

I don't think a gallery page would be of much use...there's already a gallery at the category page, and it's text documents...so it's not particularly suited for a gallery layout(zooming out leaves almost no image detail). Instead, I'd suggest a table/list layout:

The {{Pdflink}} is better on the wiki w:Template:PDFlink...will have to fix commons one. (The above example isn't a template yet, just code on this page). I'll let Michael comment on the categories...they're sort of nested tags (a tag with a tag=P). Gerald Ford pages don't have an R. because the enwiki page uses w:Gerald Ford...he was president so he get's the top page (fewer letters). I was really unclear apparently. I DON'T think a gallery page is useful for documents. At all. But what about something like the new User:Bdcousineau/Sandbox2. I love the table idea, just delete the thumbnail from the table. These will be long lists of files. What do you think about also NOT having a 'description' column, and having the collapsible content-blocks instead. I would have to write a description for each file otherwise right? since we have no database to get the description from. I'm planning to retire in 12 years, that would take me, Michael and his grandkids to complete. See continuing discussion on User:Jameslwoodward.

There were two FB postings and one on tmblr of media I uploaded to Commons and then a few shares from there. This activity will lead to an interesting paper, I think!

I can delete "Record Group" and "Series", but what should be there instead...these can always be modified later. The pdflink is a note to myself to improve the template...it refers to the template that makes this: DirectPDF (1.4 MB). A simple table with filename, date, and source is fine. The description field wasn't meant for you per se, but rather for interested wikipedians...though its probably best to leave it out for now. I've put a simple outline at User:Bdcousineau/Sandbox2#Topic. I would advise against using collapsed boxes...no ones going to open them=P. The table can be sorted by date/name by clicking the little arrows next to the column header name. The content note could be templated into something more graphical. I don't think you need the extension .pdf in the document name for the list. The tables will be autocreated...but the rest (content note, intro, box note) won't be. You still need to finalize the naming...should there be an id #(the filename of the pdf) in the uploaded name?Smallman12q (talk) 22:23, 10 October 2012 (UTC)[reply]

I prefer the version w/out the collapsed boxes too, but being mindful that commons is supposed to be about images and not words, I suspect that this may be an issue. I'll pass this version along to User:Jameslwoodward and wait for his response since he and User:Dominic have discussed this.
I'm relieved that I won't have to create descriptions for each file! The content note, into and box note will be easy enuf to lift off the website.
As for that long id# you've asked about, I'll check on that. as far as I know that's not any # used for anything but keeping track of the scan job.
I think the name from the parsed file is be fine, since contextual info is found elsewhere on the page, not necessarily in the file name. So Vice President and Romanian President ... And Vice President and Niki Minaj and Vice President and Justin Beiber and so on. Is it easy enough to do one of these groups of docs and see how it turns out and then adjust? Format

Generally, the idea is to get it right once and replicate (easier to fix one than many). So if I understand right:

  • filename: <linktext><(outertext if any)>(<id>)(Gerald Ford Library).pdf

example:Vice President and Romanian President Ceausescu (Background material only)(002301000)(Gerald Ford Library).pdf

  • description: <linktext>.<outertext if any>.Date.

The id will prevent name collisions (that is two things having the same name). If you don't want the id in there, let me know. Gerald R. Ford Presidential Library is abbreviated as Gerlad Ford Library (fewer letters)...let me know if you want different. I will create a custom {{NARA-image-full}} (or Michael can) for gerald-ford-library tmrw/weekend, post parsed versions, make the tables, and start the uploading. I'll follow the format of File:Vice President and Romanian President Ceausescu (Background material only) (Gerald Ford Library) (002301000) .pdf. Each file will be autocategorized by series. I looked at the parsed files; many of these do not have Ford in the title (boxes 4 -11 in Commons:Gerald R. Ford Presidential Library and Museum/Sources2 ).

Would it be easiest to insert Gerald Ford Papers: and then the file name? i. e. Gerald Ford Papers: Final Issues for Decision, Army Corps of Engineers. Box 1, 2, 3 are fine - Ford is in the title of each of those.

Hopefully now you see why you and the other libraries which are digitizing should use a database...without one, you'll have this amorphous mass of digital material which will be challenging to sort through. If you had an organized db with everything nicely organized...it'd be much easier and we'd already be uploading.
I've updated Commons:Gerald R. Ford Presidential Library and Museum/Sources2 with your suggestion. The linktext will be the filename. So it'll be <linktext>(<scanid>)(Gerald Ford Library).pdf for them. I will batch upload them (Sources2) tmrw so you'll have something to show on the 17th...I'm busy today. I'll grab the .zips today/tmrw. Essentially, for every batch, I'll post an xml file as I did for sources so you can tell me what you want for the title. Essentially, we're building a database this way... For files with less than 5 files, its easier to batch upload by hand, so I'll do those uploads. On a side note...that's a ton of press releases! Your plan seems good. Sounds like there might be a flow to this after all. I'm in no giant rush, and so am not bothered by how long this might be taking ... I am grateful that you are putting up with my mild computer skills, and live in fear that you'll get disgusted and break up with me/us! I hope it's not taking too long for you. really after this bunch there's only the daily diary, prolly as more pages than the press releases though.

I learned recently that had been no plans to even put these papers onto our website until two years ago - and we are ahead of most of the other libraries in the system, except the Kennedy which has oodles of $$ - that explains in part the lack of db.

I appreciate having something to show on the 17th, but they'll be bewildered by what we have so far, so if you can't get to sources2 no worries.

Am I allowed to create and give you a barnstar? I have a specific one in my head, all official and federal looking with eagles and such, called the dot gov barnstar - all our urls and emails end in .gov. Hehe...anyone can give a barnstar and you're welcome to create and give barnstars. Officially, being an admin is "not a big deal". I'm not going anywhere...there's a saying in The Wikipedia Revolution that "On Wikipedia, it’s the good guys who will hunt you down." You can learn a little more about the history of the wiki watching How a ragtag band created Wikipedia and Why Wikipedians are Weird. Federal institutions are always very good at creating, maintaining, and archiving data...they just seem allergic to sharing it. It's nice to see you taking some initiative. Databases no longer cost the oodles of $$$$ they once did unless you're doing something fancy. In your case, some sort of simple cataloging software (it doesn't even have to be online...internal is fine) will suffice. Free databases and cataloging software also exist and are commercially used. About the categories for the Ford documents that are awaiting upload

It looks to me that all the documents that are waiting to be uploaded are PDF files, and (assuming that all of them are in English) the best "mainspace" category will be Category:PDF files in English. If they are special kinds of documents with corresponding categories on Commons, like menus or letters, they can also be categorized as such. They should also be categorized in the hidden category hierarchy that I've been working on for all the Ford images, but that shouldn't be a big deal considering how well you've done that sort of categorization with all the previous uploads. Also, your talk page is getting really long and a bit unwieldy, so I'm going to suggest that you begin archiving it, which is easily done with bot assistance. Here is the code I would recommend (but you're free to do as you like):

OMG! how exciting! so what I will do is insert the context information at the head of each cat page. The tables will be great, since the first page of most of the docs is that copyright disclaimer...
so... do all those zip files go up all at once, or do I get to suggest which ones you do next? This is kinda contrary to the idea of a batch upload, but I'm getting some pressure from my boss to pick and choose the groups of docs as we go forward. Librarians move slowly - I'm a little more: Let's just GO! I need to honor their viewpoint. Were you imagining them all at once?

I'm not sure what you mean by pick and choose? Is there a reason you don't want them all uploaded? The process will be I will post a parsed version, you'll say its fine (as with source2) and then I'll upload. I will go by webpage...as that's how its easiest to parse. I've placed a table at User:Bdcousineau/Sandbox3...if it's fine, I/you can move it where you want. The files in the table that aren't red have been uploaded, and you can see the categories above each table. The categories are based on the box caption of sources2. Yes, this works for me. I can edit each box, and create the cat page as needed (with that extra text). This makes total sense to me. I'll deal with the "pick and choose" thing from my end. In essence, they want the sexier collections on wikimedia first. If you just put the files into tables like you've done, and then make a new sandbox # for each upload, I can pull out the ones they want finished first. Then I am not slowing down anything you are doing. My goal is to have everything uploaded too, that's really the point I thought.

in other news, I figured out a way to get a thumbs up on the internship for Micheal. There was concern about him mucking around in our network, I pointed out he could work from his own laptop, on materials already uploaded to the wiki space. That seems to be the key.

in still other news, I'm beginning to help another NARA agency on their fledgling wikimedia adventure. I'm hitting all the benchmarks I set for myself just a few months in -- how cool is that? Bdcousineau (talk) 18:51, 18 October 2012 (UTC)[reply]

That's good to hear. I'll put up the source files and tables this weekend. There was a slight bug in the uploads. Files can't have "/" in their name and it should give an error...but the commons cut out everything before "/" and let the upload go. I've filed a bug report: Bugzilla:41190. I've replaced the "/" with "-". The wrongly named files are currently in Category:Gerald R. Ford Presidential Library and Museum series: Budget Review Decision Papers and I'll fix them tmrw/weekend.
Hopefully the other NARA agency has a db. Would make everything 100x faster.Smallman12q (talk)

ok, after my presentation, I was told there were some databases. The most useful one for us is the one for the White House Press Releases, it gives a description down to the item level. So please hold off on that bunch til I can get the database. They sent me a sample - of course I cannot open it on my computer. More tomorrow as I poke them again. Follow up on Location infobox template

I just wanted to follow up on the discussion yesterday about the user generated images located in the Location Infoboxes: File:Ford_Library_1.JPG and File:Ford_ford_museum.jpg. If you guys have existing in-house images or images from the website that you would like to use in these templates, let us know. The logo won't be switched out as the svg version at File:Official logo of the Gerald R. Ford Presidential Library.svg is better. Typically, svg is used where possible unless its lower quality because they can be infinitely scaled. The institution photo File:Ford Library exterior.tif isn't very good (better than the gloomy one before). The entrance is shadowy, thetext is at an awkward angle, the trees are leafless...its not very inviting. You don't have a better shot?Smallman12q (talk) 23:16, 19 October 2012 (UTC)[reply]

Ok, I get the file quality of the above mentioned logo .svg might be better, (and that you are teaching me something about coding/complicated 'puter stuff) but as user:Adamkriesberg can attest, (he was eyewitness) there was a lengthy and persnickty discussion about the logo I chose missing the word Presidential. And a longer louder chat about the rainy day Ford Library image (not taken by staff, therefore not acceptable) (you seeing an unhappy theme yet?). The leafless image I put up today was the only one I could find on my 'puter taken by a bona-fide staff member. I will find a better one soonish - Monday being taken up with other duties.

I will find a Presidential logo that will make you happy, I swear! Sheesh! ;} Other than that the presentation to staff was a hit, thanks for asking. Except for the fact that many of them are suspicious and see themselves as the only authority on Ford, even I don't rate - forgot to include that ph.d in my life-plan! I've updated the logo at File:Official logo of the Gerald R. Ford Presidential Library.svg so it virtually matches File:Best_Ford_logo.tif....so the .svg should be fine now. Glad to see your presentation went well. Good luck to Michael...I'm sure he'll be useful (interns are always useful=P). The phds and their fellow post-docs have traditionally contributed to the gold-bound tombs that sit deep in the archives or to Elsevier's profitable pay-walls. Once everything has the banner template that Smallman12q has created, you'll be able to use this link to see the usage of everything the Ford has contributed on all Wikimedia projects. Right now, it contains 245 images in total, 27 of which have been used in Wikipedia articles (26 in English Wikipedia and 1 in French Wikipedia, which was added by another user unrelated to Michigan Wikipedians). That gives the Ford an impressive 11% usage rate of all the images tagged so far: however, don't be discouraged if this drops as more images are tagged, as larger collections tend to have lower usage rates in my experience. Take, for instance, my own personal uploads, which currently number over 2,000 images with a usage rate of just over 7%. Also, you can copy the first URL (here it is raw: https://toolserver.org/~magnus/glamorous.php?doit=1&category=Media+contributed+by+the+Gerald+R.+Ford+Presidential+Library+and+Museum&use_globalusage=1&show_details=1) and use it whenever and wherever you want to keep track of image usage for Ford-contributed materials. There is a challenge - some of these files have a first page that is a Ford Library copyright disclaimer. If you look at the thumbnails from any box, (like in the Media in category "Gerald R. Ford Presidential Library and Museum series: Ford-Carter Debates File) you can see a great example. What's everyone opinion - is this off-putting? and is there a sneaky elegant way to NOT include this page on as the zips are parsed? Maybe an impossibility, I know. Maybe too late for these, and not for future uploads? NOT all of what I've zipped has this disclaimer, just, unfortunately, the ones we've started with. The thumbnails are fine. You could easily remove the first page of a pdf file with a script. However, the second pages are often just stamps with time. Since its mostly text, it won't make much of a difference. I'm waiting to get Commons:Bots/Requests/Smallbot 5 approved before I continue...don't want drama from running 'unapproved task.' Files in Category:Gerald R. Ford Presidential Library and Museum series: Budget Review Decision Papers suffer from Bugzilla:41190 which cut out everything in the title before the last "/". Oh, good to know. I hadn't realized the bot request was inessence a stop sign. I'll amuse myself tomorrow by finding a better image of the Library. and thinking up categories for Michael to improve on.

lest you think I'm a slacker - I've uploaded more images to COM:GFPLM, changed out the image in the Library tag, and defended my clueless newbie status against well-meaning passers-by (see NARA at Riverside, CA on Banaticus).

BTW, why does the at-symbol get deleted from an email address?

I will have to justify what materials have been uploaded already (easy to do since it's about the presidential debate process, and we also did test batches) but the Library overlords want some semblance of control over upcoming uploads. I'm unclear about how the process actually works from your end, but could we possibly do the following in the next batch, once the road is clear again?

Yes, Dominic. I spoke to him once. We have an internal thing like fb - he posted4 days ago that he was leaving...and leaving a lot of projects undone. Geez I hope I didn't mis-read it, now I 'll be agony til I can check tomorrow. Fed employees can't get fired after a year, maybe he found a better gig. Unless he was on a short contract. I still believe that the US Archivist is gung-ho about Wikipedia - it's only been a few months since he spoke at Wikimania. More research need, hopefully I did not make an idiot of myself. Straight from the source in DC - we WILL get another Wikipedian-in-Residence, either Dominic or someone else. YAY!

While the success of our fledgling project was acknowledged, I was reminded sternly by the DC person about what I was allowed to upload, so I have to create another list, based on new info.
