THE WIKI LOVES PUBLIC ART 2014 CONTEST HAS BEEN POSTPONED

The team working on the international contest has took the decision that we will postpone the Wiki Loves Public Art contest for 2014 and review the possibility again next year. We have reached this conclusion as there are a number of issues that have to be solved for the contest to make sense, and each of them are a potential show stopper. The issues are:

  • Legal issues.
  • Lack of strong international partners/sponsors.
  • Technical issues.

This page contains the organizational timeline for Wiki Loves Public Art 2014. Feel free to use and and consult it if you so please.

The timeline is supposed to be mainly an advise, especially when it comes to local organization: you can choose to do things differently, and if you want to start working on some things earlier or to prepare your own timeline, you are very welcome to do so! Not everything on the timeline has to be done. The dates are only suggestive, and often not meant to be that specific. The most central things are marked in green. You can make a local copy of the timeline, and adapt it at your wishes.

November 26 start a public artwork project on your local Wikipedia and analyze if the community wants to join the project
November 26 start to analyze what information is available in your country (e.g. coverage of data bases, full address, coordinates, unique identifiers etc.)
December 2013
December 1 set up a portal for your local Wiki Loves Public Art contest on Commons, see the Swedish Portal page Commons:Wiki Loves Public Art 2014 in Sweden for a suggested structure
December 2 register your local wikilovespublicart.TLD domain. Create a redirect to Wikimedia Commons if you have no content yet
December 10 (if needed) create a mailing list for your local Wiki Loves Public Art contest
December 15 start preparing a task management system, divide the work between the people
January 2014
January 5 contact your government or other responsible institutions/organizations and ask for lists of artworks
January 10 decide if you need to have local workshops organized and where
Ongoing Fill in the progress table for your country
January 16 have all main organizers subscribed to the global mailing list wikilovespublicart@lists.wikimedia.org.
January 18 (if needed) create a timeline for your local Wiki Loves Public Art; feel free to use this one as a base!
January 20 contact other partner organizations or institutions
January 21 start advertising the project in your local Wikimedia community
January 24 start a discussion on defining communication channels (including outside ones)
January 25 decide on RL meeting with volunteers, try to identify local problems and possibilities
(including freedom of panorama and other copyright issues)
January 27 have structured list templates finished
January 28 have the lists of public artworks received from the government/other responsible institutions
February 2014
February 2 start thinking about some promotional materials and goodies to give to the participants
February 15 have some structured lists ready
February 16 consider asking your local Ministry of Culture or other cultural heritage institution to formally support the contest in your country
February 17 create an environment where people can report errors in the lists
February 20 create a local help desk (including legal questions)
February 25 start working on the official (external) website
February 26 start looking for local sponsors to provide awards
March 2014
March 1 start working on local documentation (how to locate public artworks on a map using software available in your country etc.)
March 2 set up category structure for your local artworks on Wikimedia Commons
March 3 partners should be ready, participating and informed about what is going on
March 4 (if possible) start working on a local events program
March 6 join the work on a pre-announcement to be sent to all Village Pumps
March 10 have the official website up, running and shining
March 12 have an OTRS queue set up with at least two-three people with access
March 15 have the pre-announcement posted to your local Village Pump
March 15 write an announcement asking people to submit nominations for your local jury
March 16 start processing already existing pictures on Wikimedia Commons
March 17 have the promotional materials and goodies being produced if you want to distribute them
March 20 have the rules of the contest set up and posted to your external website
March 23 have somebody join the international Wiki Loves Public Art translation team
March 24 have somebody join PR team to work on press releases and external outreach
April 2014
April 5 local sponsors should be ready & informed about the goings-on
April 8 (if needed) set up a Flickr group (and other platforms) for an easy upload
April 8 have your local jury fully formed and set up judging criteria
April 12 prepare Commons infrastructure (UploadWizard) and CentralNotice in your language
April 13 (if possible) finalize local events program
April 15 the lists of artworks should be finished; finish processing already existing photos on Wikimedia Commons
April 17 have promotional materials and goodies sent out to volunteers around your country
April 18 decide if you want to hold an awards ceremony and (if agreed on) start preparations
April 20 have local PR people start working on an announcing press release
April 21 have all upload environment in your language tested
April 22 start sending invites to Flickr users in relevant groups to join the contest
April 23 have UploadWizard and CentralNotice translated to your language and ready
April 24 have the announcing press release ready and translated into your language; send it to the media!
April 25 have all crucial infrastructure and pages on Wikimedia Commons as well as the tools translated into your language
May 2014
May 1 start the contest!
May 6 have local PR people start working on a middle-of-the-contest press release
May 15 have the middle-of-the-contest press release ready and translated into your language; send it to the media!
May 16 have the local awards ceremony confirmed
May 25 have local PR people start working on a final press release
May 31 finish the contest!
June 2014
June 1 have the final press release ready and translated into your language; send it to the media!
June 9 have the participants survey ready and translated into your language
June 21 have the final decision of the local jury; send your nominations to the international level
June 22 have your local winners informed about the results of the contest
June 24 have a press release about the results of your local contest ready and sent out to the media
July 2014
July 4 send thank-you letters or e-mails to the volunteers, partners and sponsors and invite them to your local awards ceremony
July 11 start working on the evaluation of the project
July 19 the international jury will have its decision ready.
July 19 send out press releases about the winners
July 25 make sure all photos are in the lists and are properly categorized
July 31 have the evaluation ready & posted to your local Wikipedia; translate at least the most important parts of it into English
August 2014
August 1-31 go out and relax in the sun! Well done! :-)
