Not that easy, more than just making the payments. Had to contact, get confirmation of voucher. Then they wanted to have a specific voucher (different currency). Then not all vouchers had it available at the right value. Basically, lots of back and forth. Every case was different. The Wikimania winner costed the most but also got way more complicated to have WMIT handle it. of the 2000, 1000 was used for the scholarship and the remainder was refunded. Revisit the scholarship decision.
Vouchers: online shops are easier (Amazon), bank transfer is even easier (accounting transaction). Would be easier if the voucher choice is established ahead of time. Give them a set of options that we can definitely handle (online), and they can suggest. If we can handle it in 2 min, we can try to accommodate it - but no promises, and no serious time investment. Winners were not the problem, the shops were.
Reporting: 2h (consolidation, incl proof of payment) Most complicated was to get the currencies straightened out. CHF/EUR.
Was also hard to know how to work out with the tshirts etc. (reservations of the amount etc), reimbursements are fine to handle. We should make sure we stick to a clear timeline.
It's worth doing it a second time, reuse the experience. But lets improve the process. Willing to let another chapter take it on, if needed. WMCH is there for us.
